Privacy policy

E-Consultants Emmeloord B.V. ("e-consultants", "we") is registered at Ballumerbocht 11, 8303 KB Emmeloord, The Netherlands. We are the European distributor of Callitor.

We process personal data in two distinct roles. The distinction determines who you should approach:

• As controller — for our own operations: visitors to this website, contact requests, and the administration of our customers and partners.
• As processor — for data processed by Callitor on behalf of our business customers. If you call a business that uses Callitor, that business is the controller; we process the data solely on their instructions and under a data processing agreement.

Via this website: we use no tracking cookies, no advertising networks and no third-party analytics. The web server keeps limited, anonymised logs for security and fault diagnosis.

If you email us: your name, email address and the content of your message, so we can reply and follow up.

Within the Callitor service (on behalf of our customers): the caller's phone number, the content of the call insofar as needed to handle the appointment or message, appointment details (date, time, staff member, location), and SMS messages sent together with their delivery status.

Phone numbers collected through Callitor are used solely for the service they were given for: confirming, reminding and changing appointments, and offering a slot that has become free.

We do not sell, rent or share phone numbers with third parties for marketing purposes. Consent for SMS messages is never shared with third parties or used by any other party.

Recipients can opt out at any time by replying STOP; HELP returns an explanation and our contact details. Opt-outs are processed immediately. Message and data rates may apply.

We process personal data on the basis of performance of a contract (scheduling and confirming your appointment), consent (for SMS service messages), and legitimate interest (security, fraud prevention and improving the service).

Callitor runs on European infrastructure — points of presence in Amsterdam, London, Stockholm, Warsaw, Zürich, Madrid and Istanbul. Data belonging to European customers is processed and stored within Europe.

Every customer has their own separated environment: data belonging to different businesses is never held in shared tables and is never combined.

We keep appointment and contact data for as long as the customer relationship lasts, and thereafter for as long as the law requires (Dutch administrative records carry a seven-year retention obligation). Call and message data is kept no longer than needed for the service and in line with what has been agreed with the customer concerned.

To deliver the service we engage processors, including the supplier of the Callitor platform, a telecoms provider for voice and SMS, and hosting providers for the European infrastructure. Data processing agreements are in place with all of them. They may use the data solely to deliver the service.

You have the right to access, rectification, erasure, restriction and portability of your data, and you may object to processing. Send a request to privacy@e-consultants.nl; we respond within 30 days.

If you called a business that uses Callitor and the request concerns that business's data, we will forward your request to the relevant controller or point you to them.

You also have the right to lodge a complaint with the Autoriteit Persoonsgegevens, the Dutch data protection authority.

We may update this policy. The date at the top of this page shows when it was last changed. We actively inform our customers of material changes.
